In this article we discuss putting those piles you created to work for you. This is done by making organized categories. Once you pass this decision the others become self-explanatory.

Before you begin, you need to think about how you look for information. Everyone has a different way of doing this, some people use Alphabetical Order, and some use Chronological Order while others use the Left-Center-or Right Hand method. Doctor and Lawyer’s offices have a completely different method of filing, some by date and some by client number.

Types of Methods

The Alphabetical Order filing system is strict alpha filing. A to Z. If you find that it is easier to find information when it is in alphabetical order then this is the filing system for you. This does not require a filing cabinet, although some container is recommended.

If you handle your information by date of receipt, let’s say, then the Chronological System is for you. However, one of the pitfalls of this system is either to file with the most current information up front or in the back and determining categories for instant retrieval.

The Left Center or Right Hand method contains Categories and Sub-Categories using tabs to distinguish each. The Category would be Utilities, the Sub-Categories would be: Cable, Gas & Electric, and Telephone.

The Left Hand method puts the Category in the middle and the Sub-Categories on the left. Thus, depending on how you reach for your information, how close it is to you, etc. would determine whether you need Right Left or Center. This is also in Alphabetical order by Category and the Sub-Categories are also in alpha order within.

The next thing to consider is ergonomics; make sure that information retrieval is not putting your body at risk. You do not want to reach too far for your files. If you must get up, then do so; do not add back strain to your list of problems. Most organizers suggest that your workplace should have everything you need within three feet of your reach. If you have to get up for too many things you will not be using your time most efficiently. However, there are Pacers who need room to work and their workplace covers a wider range of space.
