You have all heard the adage “Follow the Money”; well the same concept applies with Re-organizing/re-vamping, etc. Professional Organizers “Follow the Paper”. In order to find vacuums in the work performance arena, you will need to follow the paper path from start to finish.

Before you begin, remember to be objective and to observe only. If you keep notes, you will be able to review the process privately. Go over this same process a few times, this will help you understand the day-to-day flow of work. Sometimes it takes a while to get it – in that you will find glitches, or avenues that will save time. Even if you feel you know the whole process, how your procedures are deciphered may be entirely different. Or someone has put a spin on the procedures – sometimes for the good, sometimes not. That is why you are observing. There are times when orders come in my email and are then changed (also by email). In this case the entire document – the changes – may also be attached to the first. This is redundant and costs money to print, space to file and ultimately space to archive. In addition, when multiple people are handling the same order or file if you will, the consistency changes. The process inevitably must be brought back to the initial concept! Of course, if some of these changes are beneficial, then make the changes to the procedures and distribute same so everyone will benefit.

By following the paper, not only will you be apprised of current events, you will also be brought back to the process that you have presumed is working fine. This presumption then becomes a new awareness, possibly of changes, possibly of new equipment needed; even finding out that the needs of the staff have changed. All of these things are beneficial to the operation of your company. Never think that you are too high up on the ladder to reinvest yourself for a few hours. After all, you are the one who is ultimately responsible for the performance of your staff.
